Add Questions, Videos, Reviewers and Invitations to Your Automated Interview Template

Setting Up Your Template in Cammio

Once you have created a new template, it is time to build up your template further. This includes:

  • Adding videos to make your interview process more engaging
  • Adding questions for candidates to answer
  • Assigning reviewers to evaluate candidate responses
  • Inviting candidates to take part in your interview

Each of these steps ensures that your template is complete and ready for a smooth recruitment process.

1. The Details Tab

The Details tab gives an overview of all the general settings for your interview that you mostly already set up when you created your template. You can still make adjustments if needed.

General Information

Here you see the basic details of your template:

  • Type: The interview type: Automated- or Live Interview. This can only be set when creating a new template.
  • Reach: Whether the template is Open (invitations through a share link) or Closed (manual candidate invitations)
  • Recruiter: The main responsible recruiter for this template.
  • Language: The initial language for this template.
  • Branding: The selected branding for this template.
  • Disclaimer: The legal disclaimer/consent (PDF) form that candidates have to agree with.

Communication (not relevant for integrated clients)

These settings manage how candidates receive and view information:

  • Hide approximated duration of interview in emails: Decide whether to show the estimated interview length in the invitation emails.
  • Explanation e-mail: Added custom text shown in the invitation email.
  • Explanation afterwards: Added custom text shown in the email candidates get upon finishing their interview.

Reviewing (not relevant for integrated clients)

  • Review Mode: Choose between “Question-based,” meaning one evaluation option per question, or “One rating,” meaning one evaluation per candidate.
  • Review Instructions: Optional guide for reviewers during the evaluation process.

Settings

  • Recordings: Default setting for the number of allowed recording attempts per question. This can changed per question later.
  • Answering time: Time default answering time limit for each question. This can also be changed per question later.
  • Invitation expires after: How long candidates have to complete their interview.
  • Send reminder via: Communication channel for reminders (e.g., Email).
  • Send reminder: If reminders are sent automatically before the invitation deadline.
  • Data retention: How long candidate responses are stored.
  • Private: Whether the template is public or private.
  • Default answer type: Default answer types per question (Video, Audio, or Text). This can be further adjusted per question later.
  • Transcribe answers: Automatically transcribe candidate answers (Yes/No).
  • Tips & Practice button: Whether a "Interview practice" button is shown on the Welcome Screen for candidates.

Interview Completion Message

When a candidate submits the answer to their last question they see a completion screen. You can adjust a part of the content that is shown here:

  • Title: Add a short heading (e.g., What’s happening next?).
  • Message: Provide information about next steps (e.g., when and how candidates will be contacted).

💡 Tip: Our default setting is always the following title: “What's happening next?” and message: “Our recruitment team will review your responses carefully. We will notify you via email or phone regarding the outcome of your interview and the next steps in the hiring process.” - This can also be deleted, in which case the customizable field will appear empty.

Checklist for the Details Tab

  • Is the Recruiter and Branding applied correctly?
  • Did you add clear Invitation and Completion Messages?
  • Are the Answer Times, Data Retention, and Privacy settings aligned with your process?

Once you complete the Details tab, you can move on to the next step: adding videos in the Videos tab.

2. The Videos Tab

The Videos tab allows you to personalize your template by adding video content. This is where you can set a welcome message, trailers, and a thank you message to guide and engage candidates during the interview process.

Welcome Message

The welcome message is the first video candidates see when starting the interview. We always recommend adding one for a better candidate experience.

  • Add new video: Record or upload a new video directly.
  • Select from library: Choose a video already stored in your Cammio library.

This step helps to introduce the company, the recruiter, or explain the purpose of the interview.

Trailers

You can add up to three trailers to give candidates additional context about the company, role, or recruitment process.

  • Upload video file: Add a video directly from your computer.
  • Add YouTube video: Link to an external video hosted on YouTube.
  • Select from library: Insert an existing video from your Cammio library.

Thank You Message

The thank you message is shown at the end of the interview. It can be used to thank candidates for their time and explain the next steps. We always recommend adding one for a better candidate experience.

  • Add new video: Upload or record a new thank you message.
  • Select from library: Use a previously saved thank you video.

Adding a New Video

When you click Add new video, a pop-up window appears where you can record or upload your video.

Adding new video

  1. Choose how to add the video:
  • Record Video: Use your webcam to record directly.
  • Upload Video: Select an existing file from your device.

  1. Adjust the video settings:
  • Preserve aspect ratio: The welcome screen for candidates uses a video player with a 16:9 aspect ratio. If this option is disabled, videos with a different aspect ratio will be cropped to fill the entire video player. Leave this option enabled if you want to ensure that your entire video is visible in the player. Please note that, depending on the aspect ratio of your video, black bars may appear at the top or sides.
  • The thank you message uses a video player with a 1:1 aspect ratio. Again, if this option is disabled, videos with a different aspect ratio will be cropped to fill the entire video player. Leave this option enabled if you want to ensure that your entire video is visible in the player. Please note that depending on the aspect ratio of your video, black bars may appear at the top or sides.

  1. Add supporting text:
  • Enter the question text or supporting message shown with the video.
Wichtig: Der Titel für Wilkommens- sowie Abschschlussbotschaft wird den Kandidat:innen nicht angezeigt.

  1. Optional settings:
  • Must view welcome message: This checks if a candidate has watched the video on the welcome screen and notifies them if they try to continue without watching it.
  • Add to library: Save the video in your Cammio library. Please note: The video must be edited again in the library and marked as a “video message” so that it can be used in other jobs as a welcome or thank you message.

  1. Save or cancel:
  • Click Save to add the video.
  • Or click Cancel to exit without saving.

✅ Checklist for the Videos Tab

  • Does your template contain a welcome message in 16:9 format and a thank you message in 1:1 format?

When this tab is complete, continue with the Questions tab to add interview questions.

3. The Questions Tab

In the Questions tab, you can add the actual interview questions that candidates will respond to. This is one of the most important steps in setting up your template.

Adding Questions

There are two ways to add questions:

  • Add new question: Create a custom question by typing it in directly.
  • Select from library: Choose a saved question from your organization’s question library.
  • Re-order: Once you have added more than one question to your job, you can edit the order even after adding the questions. This flexibility allows you to create new questions or reuse existing ones.

This flexibility allows you to design new questions or reuse existing ones.

Adding a New Question

When you click Add new question, a pop-up window opens where you can create and configure the question.

adding a new question

  1. Choose how to add the video prompt:
  • Record Video: Record directly using your webcam.
  • Upload Video: Upload a pre-recorded file.

  1. Adjust video display:
  • Preserve aspect ratio: The candidate interface uses a video player with a 1:1 aspect ratio for questions. If this option is unchecked any video of a different aspect ratio will zoom in to fill the video player frame, which generally looks nicer for candidates. Check this option if you want to make sure that your entire video is visible within the player. Keep in mind that depending on the aspect ratio of your video this could mean that black bars are added on the top or sides of your video when it is viewed.

Enable this option if you want to ensure that your entire video is visible in the player. Please note that, depending on the aspect ratio of your video, black bars may appear at the top or sides.

  1. Enter the question text:
  • Type the question as text for clarity. This will be overlayed on top of the video frame (but not visible when the video question is playing).

  1. Set recording options:
  • Recording attempts: Number of tries candidates get.
  • Answering time: Maximum allowed response time.
  • Competence: (Optional) Tag to a competence area for structured review.

  1. Select the allowed answer types for candidate:
  • Video (candidate records a video response)
  • Audio (candidate records an audio-only response)
  • Text (candidate types their answer)

💡 Tip: You can also activate several answer types at the same time so that candidates can decide flexibly how they want to give their answer.

  1. Optional setting:
  • Add to library: Save for reuse in future templates.

  1. Save or cancel:
  • Click Save to confirm.
  • Click Cancel to discard.

✅ Checklist for the Questions Tab

  • Have you included all necessary questions?
  • Are the questions clear and easy to understand?
  • Did you select the right answer types (video, audio, or text) for each question?

⚠️ Please note: Once an invitation has been created or an interview has been received, the questions can no longer be edited!

💡 Tip: If the job was only used for testing purposes, delete the test invitations and test interviews—you can then edit the questions again. If this is not the case, we recommend copying the job. You can then edit the questions again in the copy.

Once complete, continue to the Reviewers tab.

4. The Reviewers Tab

In the Reviewers tab, you can assign the people who will review and evaluate candidate responses.

Adding Reviewers

  • Add: Invite new reviewer users.
  • Select: Choose from existing users in your Cammio account.

Reviewers added here will see all interviews completed from the time they are assigned to this job. However, you can also add or invite additional reviewers for individual interviews.

🚨 Important: If interviews have already been received for this job and you want them to be visible to the newly added reviewers, be sure to check the box “Grant access to previous interviews.” Otherwise, reviewers will only see interviews received after they were assigned.

5. The Invitations Tab

In the Invitations tab, you can manage how candidates are invited to interviews. You can send invitations individually or import them via CSV files.

Adding Invitations

  1. Invite: Manually add a candidate by entering their details.

In this window, you can manually invite candidates to a job by entering their personal data. The following fields are available:

  • Apply until: Enter the deadline by which candidates can complete their interview.
  • Salutation: Choose between Mr., Ms., or Diverse to personalize the salutation in the invitation.
  • First name and last name: These fields are mandatory and will be used in the invitation.
  • Email: Enter the email address to which the invitation will be sent.
  • Phone number: Optional field, useful if reminders are to be sent via text message.
  • Time zone: Make sure the candidate's correct time zone is selected—this is important so that the deadline is displayed correctly.
  • Personal message: Here you can add a personalized message that will be displayed in the invitation email (e.g., a personal greeting or note about the process).
  • Send invite from: Select who will be displayed as the sender of the invitation (choose between recruiter or job template owner).

At the end, you can:

  • Click Invite to send the invitation, or
  • Click Cancel to close the process without saving the data.

  1. Import: Upload a .csv file of candidates to send bulk invitations.

This feature allows you to invite multiple candidates at once by uploading a CSV file.

  • Here's how it works: Select a CSV file containing candidate data in the format firstname, lastname, email, phone, gender.
  • After uploading, the file will be processed and you will receive a confirmation email.
  • Refresh the page after a few seconds to see the new invitations.

Buttons:

  • Select file: Upload file
  • Upload: Start upload
  • Cancel: Cancel process

✅ Checklist for the Invitations Tab

  • Have you added all candidates?
  • Are the names and email addresses correct?
  • Have you selected the right time zone?

Once invitations are sent, candidates will receive an email with their interview link.

6. The Interviews Tab

The Interviews tab provides an overview of all completed interviews in this template. Once a candidate submits their interview they will show up here, and no longer under the Invitations tab.

What you can do here

  • Open candidate interviews for review.
  • See current review status and average rating
  • Add (additional) reviewers to specific candidates
  • Export to Excel: Here you will receive an Excel file containing all relevant information about the interviews, including candidate details, interview status, ratings, average scores, and assigned reviewers. This gives you a complete overview of the progress and results of your job.
  • Under Actions: Delete interviews (only with admin role)
