Configure Automated Candidate Emails

Communication is key to a great candidate experience, especially in high-volume hiring. The Cammio platform handles the heavy lifting for you by managing five core system emails: Invitations, Reminders, Deadline extensions, Canceled notices, and Completion confirmations.


While the system automatically generates the core structure and unique links for these emails, you can add a personal message and set up automated reminders directly from the Setup tab of your interview template.



Navigate to Automated Emails


  • Open Templates.
  • Select your Automated Interview template.
  • Go to the Setup tab.
  • Select Automated Emails in the left side menu.




1. Decide Whether to Show Estimated Durations


By default, Cammio calculates an "estimated duration" for the interview based on the time limits you set for each question and includes this in the invitation email. If your interview includes open-ended thinking time, estimates can feel misleading.


  • Toggle this option ON to hide these estimates from candidates.


Use this when your configured answer time limits don't reflect real candidate effort (e.g., thinking time is longer than recording time).



2. Customize the Invitation Email Message


The platform sends a standard invitation email. You can add a custom message that appears inside it.


  1. In Invitations, click Edit.
  2. Write your message (keep it short and scannable).
  3. Click Save.


Tip: Write for anxious candidates. One warm line and a clear next step beats a long paragraph.

Please complete your video interview by {DeadlineDate}. Find a quiet place and use a stable connection. Your answers don't have to be perfect, just be yourself.



3. Customize the Completion Email Message


Completion emails help you reduce “what now?” uncertainty and improve candidate satisfaction.


  1. In Completion, click Edit.
  2. Add a short thank you and next steps message.
  3. Click Save.


Consider including:


  • What happens next (review timeline if you can share it)
  • Whether candidates will be contacted regardless of outcome
  • An optional contact channel for questions.



4. Turn On Automatic Reminders (Email or Email & SMS)


Chasing down candidates takes time. Let the platform do it for you! You can configure the system to automatically nudge candidates before their interview link expires. Reminders reduce drop-off, especially in high-volume hiring.


  1. In Automated Emails, enable Send Automatic Reminders.
  2. Choose the reminder method: Email or Email & SMS (if available for your account).
  3. Set Days before deadline (e.g., 2 days before).
  4. Click Save.


Troubleshooting


Issue

How to fix it

Reminders aren't sending

Check the template deadline/expiration configuration (reminders depend on it). Confirm Send Automatic Reminders is enabled and the days before deadline value is realistic (e.g., not set higher than the time remaining). If using Email & SMS, confirm candidates have a phone number on record.

SMS reminders don't reach everyone

Ensure candidate phone numbers are collected and uploaded at the time of invite. Confirm the reminder method is set to Email & SMS, not Email only.

Candidates report not receiving emails

Ask candidates to check their spam/junk folder. Verify the email address in the invite list has no typos. If your organization uses strict mail filters, ask IT to allowlist the platform's sending domain.
