Invite Candidates to an Automated Interview (Single & Bulk)

Ready to get to know your applicants? You can easily invite candidates to an automated interview one by one, or save time by bulk-inviting them using a CSV file import.



1. Inviting Individual Candidates


If you only need to invite a few candidates, sending individual invitations is quick and straightforward.


  1. Go to Templates from the main sidebar menu.
  2. Open the automated interview template you like to use and click on the Invite tab.


Quick tip: You can also invite a candidate directly from the Templates overview by clicking the Options menu (...) next to an active interview template and selecting Invite Candidate.


  1. Click the Invite candidate button.
  2. The Interview deadline and the Timezone are set automatically according to the account and template defaults. You can adjust if needed.
  3. Fill in the required candidate details: First name, Last name, and Email.
  4. Optional: Add a Phone number (useful if you plan to send SMS reminders)
  5. Optional: Write a Personal message to customize the invitation email.
  6. Click Invite candidate to send the invitation.



2. Bulk Inviting Candidates (CSV Upload)


For high-volume hiring (e.g., campaigns, apprentices/trainees, seasonal hiring), use the bulk invite feature to send out multiple invitations in seconds.


  1. Open your automated interview and navigate to the Invite tab.
  2. Click the Bulk invite button.
  3. Prepare your CSV file. Your file must perfectly match these required columns:
  • Candidate First Name
  • Candidate Last Name
  • Candidate email
  • Phone
  • Gender
  1. Save as a .csv file with the encoding "Unicode – UTF-8" and "LF".
  2. Drag and drop (or click to upload) your formatted CSV file directly into the upload modal.
  3. The platform will process your list in the background. You will receive a confirmation email once all invitations have been successfully sent.


Important: Our system uses batch validation to prevent partial sends. If even one row in your CSV contains an error (like an invalid email format), the entire upload will fail. Always double-check your data before uploading!

Candidate didn't receive the invite email

Email may be invalid, blocked, or landed in spam

Verify the Email field, ask candidate to check spam/quarantine, then use Copy candidate link to share the URL manually

CSV upload fails

One or more rows are malformed and the batch fails

Validate required columns + email formats; remove/repair the bad row(s) and re-upload

Candidate says the link is expired

The deadline passed (or the link validity window is over)

Use Extend deadline (recommended) or re-invite if needed
