Set up the Candidate Welcome Screen

First impressions matter! The Welcome Screen is the very first thing your candidates see when they click their interview link. This is your prime opportunity to set a welcoming tone, ensure legal compliance, and help calm any pre-interview nerves before the recording begins.

A strong welcome screen makes candidates feel prepared and confident, which leads to better, more authentic responses.

Where to Find the Welcome Screen Settings

  1. Go to Templates.
  2. Open your Automated Interview template.
  3. Go to the Build tab.
  4. At the top, you’ll see the Welcome screen section.

1. Configure General Settings

At the top of the Welcome Screen module, you can control two important elements:

  • Enable this if candidates must accept consent documents before starting.
  • Useful for GDPR compliance, privacy statements, or internal policies.

If enabled, candidates must review and accept the documents before proceeding.

Toggle this on to display a helpful link on the candidate's screen, offering them best practices for completing a video interview. This may help reduce stress and improves completion quality.

You can choose between:

  • Video
  • None

A video greeting is highly recommended for employer branding! You can choose to add up to three videos.

Why Add a Welcome Video?

A short welcome video:

  • Humanizes your company
  • Explains what to expect
  • Reduces candidate anxiety
  • Improves completion rates

Even a simple 30–60 second introduction makes a difference.

How to Add a Video

You can add up to three videos.

Click Video, then choose one of the following options:

  1. Add new: Use your webcam to record a friendly greeting directly in the platform or upload a pre-produced video file from your computer.
  • If you recorded a video, you can preview it and click Retake recording if you need another take.
  • Toggle on Fill frame to easily crop out any distracting black bars around your video.
  • Click Save video to add it to your Welcome Screen.
  1. Library: Select a welcome video your team has previously saved.
  2. Add YouTube video: Paste a URL into the modal to embed an existing YouTube video.

Best Practices for a Strong Welcome Screen

Keep it short and focused:

  1. 30–90 seconds per video
  2. Speak directly to the candidate. Explain:
  • What the interview includes
  • How many questions they’ll answer
  • How long it will take
  1. Whether they can retry answers

Avoid:

  • Overloading with information
  • Long corporate presentations
  • Repeating details already included in the invitation email

3. Managing Your Welcome Videos

Once added, your videos will appear as a list of numbered cards displaying a thumbnail, title, and duration.

  1. Reordering: Grab the drag handle (the icon with dots) on the left side of any video card to drag and drop it into a new sequence.

  1. Encouraging Views: Want to make sure candidates actually watch your greeting? Toggle on Encourage video viewing below your video list. This prompts candidates to finish the media before they click the "Start" button. This is especially helpful when:
  • You provide important instructions
  • You explain recording expectations
  • You want to reinforce employer branding

  1. Saving to Library: Did you record a fantastic new greeting that you want to reuse in other templates?
  • Click the More actions icon (three dots) on the video card and select Save to library.
  • A modal will appear allowing you to adjust the Title, Owner, Notes, Tags, and Fill Frame settings before securely saving it to your media library.
